Operations Assistant
The Operations Assistant provides entry-level support to the day-to-day property operations of the Land Bank. Working under the supervision of the Director of Operations or designee, this position assists with property purchase and disposition activities, property management, application processing, records management, and field support including active involvement in Land Bank-developed projects. This is an entry-level role suited to candidates seeking to build a career in community development, real estate operations, or nonprofit administration.
Job Responsibilities
Property Operations Support
Assist with scheduling and coordinating property showings, open houses, and site visits with applicants, prospective buyers, and real estate staff
Help prepare and distribute property listings, marketing materials, and informational handouts for ACLB’s active inventory
Support the receipt, logging, and initial review of property purchase applications
Maintain accurate records of property inquiries, applications, and follow-up correspondence
Assist in organizing and supporting application workshops, outreach events, and community meetings
Provide general customer service support to prospective buyers and applicants, including responding to routine inquiries by phone, email, and in person Help prepare property listings and marketing materials
Records and Data Management
Enter and maintain accurate data in the Land Bank’s property management and tracking databases
Organize and maintain physical and digital files related to property acquisition, sales, and compliance
Assist with scanning, uploading, and archiving documents in accordance with Land Bank recordkeeping procedures
Help compile data and prepare routine reports and summaries as directed
Field Support
Support land bank-developed projects in the field, including meeting contractors, vendors, and service providers at project sites and facilitating site access as directed
Accompany staff on property inspections and site visits; document property conditions through photographs and written notes
Assist in coordinating maintenance and service vendors for Land Bank-owned properties, including scheduling work, communicating scopes and expectations, tracking work orders, and following up on completion
Assist with the coordination and preparation of property closing transactions, including assembling required documentation, communicating with buyers and attorneys, and supporting pre-closing logistics
Conduct directed research on properties and applicants as assigned, including title history, ownership records, property condition, and applicant background information to support staff decision-making
Assist with securing and monitoring access to Land Bank-owned properties during active project phases
General Administrative Support
Process incoming mail, correspondence, and documentation
Provide backup coverage for front desk and reception functions as needed
Assist in preparing materials for Board, committee, and staff meetings
Monitor and help maintain office supply inventory
Support website updates and social media content as directed
Other duties as assigned
Desired Qualifications
Required Skills and Experience
High school diploma or GED required; Associate's degree or some college coursework in business, public administration, real estate, or a related field preferred
0–2 years of administrative, customer service, or operations support experience; internships and volunteer experience considered
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Strong organizational skills and attention to detail
Clear written and verbal communication skills
Customer service orientation and professional demeanor
Ability to manage multiple tasks and meet deadlines in a fast-paced environment
Valid NYS Driver’s License and reliable personal vehicle required; mileage reimbursed for work-related travel within Albany County.
Additional Qualifications
Interest in community development, land banking, real estate, or urban revitalization strongly preferred
Ability to work independently and as part of a team
Familiarity with Albany County communities and neighborhoods is an advantage
Bilingual (English/Spanish) is an advantage
Albany County residency or candidates willing to relocate within six months of appointment will be considered preferred but residency is not required.
Flexibility to occasionally attend evening meetings or events (approximately 1–2 evenings per month)
Working Conditions
Full-time, non-exempt position (37.5 hours per week)
Primary work location is in an office environment
Regular field work required for property visits and inspections
Personal vehicle required for field work; mileage reimbursed in accordance with Land Bank travel policy
Some evening hours are required for meetings and events
Physical Requirements
Ability to use standard office equipment
Capable of accessing properties for inspections, including navigating stairs and uneven surfaces, and varied site conditions
Ability to lift and move up to 20 pounds occasionally
Pay Transparency
$38,000 – $42,000 annually, commensurate with experience; benefits include access to health care, dental and HSA plans, Paid Time Off, and retirement savings plan
